As far as CRMs go, Hubspot's CRM is free for everyone now (the CRM NOT the marketing software) and it is killer for any small to medium business that don't need product reporting. But for sales funnel and communication and keeping track and checking pipeline and staying on top of the sales game full marks. It's SO easy to use too.
So particularly if you perhaps plan using Hubspot in the future, or are already, (or even never, it's not a must) that one is a no-brainer.

The most important point I think is to really structure the email well, to think it over again and again and make sure the language is plain and simple, easy to read.
And not to assume anything! Test, test, test and compare results before making assumptions.
